WhatsApp Business App vs WhatsApp Business API: Which Does Your Business Need?
By Nikhil Wagh, Co-Founder at NexLoop · Published · 6 min read
Quick answer
Use the free WhatsApp Business app if one or two people reply to customers by hand from a phone. Move to the WhatsApp Business API (officially the WhatsApp Business Platform) when you need several team members on one number, instant automated replies, chatbots, CRM integration, reminders or campaigns to large opted-in lists. The API has no app of its own and charges per template message.
Most businesses in India start on WhatsApp the same way: someone downloads the WhatsApp Business app on the shop phone and starts replying to customers. That works well, until enquiries pile up, two people need to reply from the same number, or customers keep messaging at 11 pm.
That's when people start asking about the WhatsApp Business API. This guide explains what each option actually is, what it costs, and how to tell which one you need.
What is the WhatsApp Business app?
The WhatsApp Business app is a free app from Meta for Android and iPhone, built for small businesses. It works like normal WhatsApp, with extra tools for selling:
- A business profile with address, hours, website and description
- A catalogue of products or services with prices and photos
- Quick replies for answers you send often
- Greeting and away messages that send automatically
- Labels to sort chats (new customer, paid, pending and so on)
- Broadcast lists, which only reach contacts who have saved your number
Everything happens inside the app, on your phone plus a few linked devices. There is no way to plug in your own chatbot, CRM or website forms.
What is the WhatsApp Business API?
The "WhatsApp Business API" is the common name for the WhatsApp Business Platform, Meta's product for medium and large businesses. Instead of an app, it's a connection that software talks to. You use it either directly through Meta's Cloud API or through a Business Solution Provider (BSP), a company that gives you a dashboard on top of it.
With the API you can:
- Let many team members reply from one number through a shared inbox
- Run chatbots and AI assistants that answer instantly, day and night
- Connect WhatsApp to your website, CRM, booking system or Google Sheet
- Send automatic updates: order confirmations, appointment reminders, payment reminders, delivery status
- Send campaigns to large lists of customers who have opted in
- Get analytics on delivery, reads and replies
The trade-off: the API has no app of its own. You need an inbox or chatbot tool on top of it, and business-initiated messages are paid.
Side-by-side comparison
| WhatsApp Business app | WhatsApp Business API (Platform) | |
|---|---|---|
| Cost | Free | Meta charges per template message, plus any tool or BSP fees |
| Who replies | You, on a phone and a few linked devices | Any number of team members through a shared inbox |
| Automation | Greeting, away and quick replies only | Chatbots, AI replies, workflows, reminders |
| Integrations | None | Website, CRM, booking, payments, Google Sheets |
| Starting conversations | Message anyone who has your number | Pre-approved template messages to opted-in customers |
| Bulk messages | Broadcast lists, only to people who saved your number | Campaigns to large opted-in lists |
| Setup | Download and register in minutes | Meta business account, verification, templates, software |
| Best for | One or two people replying by hand | Teams, high enquiry volume, automation |
How WhatsApp API pricing works
The API isn't priced per month by Meta. It's priced per message, and it depends on two things:
- The message category. Meta sorts business-initiated template messages into marketing (offers, announcements), utility (order updates, reminders, account alerts) and authentication (one-time passwords). Marketing messages cost the most.
- The customer's country. Rates are set per country. For India, Meta publishes a rupee rate card, and taxes apply on top.
When a customer messages you first, a 24-hour customer service window opens, and you reply inside it without needing a template. Meta has changed how replies inside that window are billed more than once, so check the current rules before you budget.
Because rates change, always check Meta's official WhatsApp Business Platform pricing page before planning a big campaign. If you use a BSP or an inbox tool, add its monthly fee to the total.
Signs the WhatsApp Business app is still enough
Stay on the free app for now if most of these are true:
- One or two people handle all customer chats
- You get a manageable number of enquiries a day and can reply within an hour or two
- You don't need WhatsApp to talk to your website, CRM or booking system
- Your "campaigns" are occasional updates to regular customers who saved your number
Set up a complete business profile, a catalogue, quick replies and an away message, and the app can carry a small business a long way.
Signs you need the WhatsApp Business API
It's time to move to the platform when:
- Several people need to reply from the same number, without sharing one phone
- Enquiries come in after hours, and slow replies are costing you customers
- You send the same reminders or updates by hand every day
- Leads arrive from your website, ads and WhatsApp and get lost between them
- You want to send offers to hundreds or thousands of opted-in customers
- You want a chatbot or AI assistant to answer common questions instantly
Can I keep my existing WhatsApp number?
Usually, yes. Meta lets many businesses connect a number they already use on the WhatsApp Business app to the platform, a setup often called coexistence, so the same number works in both. It comes with some limits on which app features keep working, and eligibility depends on your account. You can also move a number fully to the platform. Check the options for your number before you start, so you don't lose chat history unexpectedly.
How to get the WhatsApp Business API
- Create or use a Meta Business portfolio (formerly Business Manager) for your company.
- Verify your business with official business documents. Verification is required for higher messaging limits and some features.
- Choose how to connect: Meta's Cloud API directly (needs a developer), or a BSP or agency that sets it up for you.
- Register your phone number and a display name that follows Meta's naming rules.
- Create message templates for reminders, updates and offers, and get them approved by Meta.
- Connect your inbox, chatbot and CRM, and build the flows: auto-replies, lead capture, reminders.
- Collect opt-ins on your website, forms and at checkout before sending business-initiated messages.
New numbers start with a daily limit on how many customers you can message first. The limit rises as you send more messages and customers engage with them.
Mistakes that get WhatsApp numbers restricted
- Unofficial "bulk WhatsApp sender" tools. They break WhatsApp's terms and are the most common reason numbers get banned. Use only the official platform.
- Messaging people who never opted in. Blocks and reports lower your quality rating and messaging limits.
- Too many marketing messages. Customers mute or block businesses that send offers every day. Prioritise useful utility messages: reminders, confirmations and updates.
- Bots with no way to reach a person. Always give customers a clear option to talk to a human.

Frequently asked questions
Is the WhatsApp Business API free?
No. Getting access is free, but Meta charges per business-initiated template message, based on the message category (marketing, utility or authentication) and the customer's country. Inbox or chatbot software and provider fees are usually extra.
Can I use the WhatsApp Business API without a developer?
Yes, through a Business Solution Provider or an agency that sets it up for you and gives you a ready-made inbox and chatbot builder. Connecting directly to Meta's Cloud API needs development work.
What is a WhatsApp template message?
A template is a pre-written message approved by Meta, such as an appointment reminder or order update, with spaces for details like the customer's name. Templates are required to start a conversation with a customer outside the 24-hour customer service window.
Can I send bulk WhatsApp messages with the Business app?
Only through broadcast lists, and messages reach only contacts who have saved your number. For large campaigns to opted-in customers you need the WhatsApp Business Platform (API).
Do I get a verified tick with the WhatsApp Business API?
Not automatically. WhatsApp's verified badge is granted by Meta separately, based on the business's eligibility, and isn't part of getting API access. Many businesses run successfully on the API without one.
